If you’re creating a Raffle and have many Raffle prizes, you can save time and effort by downloading and completing a spreadsheet that will allow you to import all Raffle prizes at once.
How do I import multiple Raffle prizes at once?
Go to Campaigns in the left menu.
If you have chosen a list view, click on the Campaign title. If you have chosen a grid view, click on the Campaign image.
Select Campaign Setup.
Go to Raffle in the timeline at the top.
Scroll down to Add prizes, and select Import multiple prizes:
Download the provided spreadsheet and fill it out.
Note that some columns are required. For more detailed instructions on how to fill out the spreadsheet, see the sections below.
Upload the completed spreadsheet. If there are any errors, we’ll let you know so you can fix them:
Once your spreadsheet is uploaded and error-free, click on Start import.
How do I fill out the Raffle prize import spreadsheet?
As noted above, some spreadsheet columns are required and must be filled out to import successfully. Other columns are optional.
What are the required columns in the import spreadsheet?
The following columns must be filled out before you can import your prizes. Note that the Category column is only required if you’re sorting your prizes into categories — if you aren’t, the Category column won’t appear on your spreadsheet and won’t need to be filled out.
Title
What this is: The name of your prize
Format: Words
Example: Handmade ceramic dish set
Category (only appears if categories are enabled)
What this is: The category your prize will be grouped under (helpful if you have many Raffle prizes so donors can easily find the prizes they’re interested in)
Format: Words. If you’re adding prizes to an existing category, the category name should exactly match the category you created in setup. You can also use this column to create new categories.
Example: Homewares
Prize Quantity
What this is: The quantity of this prize that you’re giving away
Format: Numbers, no symbols
Example: 1
Hide This Item from the Campaign Page
What this is: A feature that lets you add a prize to your prize list but hide it from the Campaign Page in case you want to reveal a special prize partway through the Raffle to generate excitement
Format: Yes or No, not case sensitive
Example: No
Alcohol Restriction
What this is: A feature that lets you indicate that a Raffle prize contains alcohol and is age-restricted
Format: Yes or No, not case sensitive
Example: No
What are the optional columns in the import spreadsheet?
We suggest filling out the following columns to give donors more information about your Raffle prizes and make your records more complete, but they aren’t required.
Image URL
What this is: A link to the picture(s) of your prize. Your image(s) should be 1480x1000px.
Format: URL. To include multiple images for one prize, separate each URL with a semicolon, then enclose all image URLs in quotation marks
Description
What this is: A brief description of the prize
Format: Words
Example: Unique and timeless twenty-piece dish set handmade by a local potter
What should I know about importing Raffle prizes?
Your template will include an example prize row. You will want to delete this line from the spreadsheet before you upload your prizes. If the example prize is accidentally uploaded, you can simply delete it.
Frequently Asked Questions
How many Raffle prizes can I import at once using the spreadsheet?
You can import as many Raffle prizes as you need in a single spreadsheet upload. There’s no specified limit, making this method ideal for large Raffles with dozens or hundreds of prizes that would be time-consuming to add individually.
What happens if my spreadsheet has errors when I try to upload it?
Givebacks will identify any errors in your spreadsheet and notify you of what needs to be fixed before you can complete the import. Common errors include missing required columns, incorrect formatting, or invalid data types. Simply correct the errors in your spreadsheet and re-upload it.
Can I add images to my Raffle prizes through the import spreadsheet?
Yes, you can add images by including image URLs in the Image URL column. Your images should be 1480x1000px, and you can include multiple images per item by separating each URL with a semicolon and enclosing all URLs in quotation marks.
Do I need to sort my Raffle prizes into categories before importing?
No, categories are optional. The Category column only appears in your spreadsheet if you’ve enabled categories in your Campaign Setup. If you’re not using categories, this column won’t appear and doesn’t need to be filled out.
Can I edit or delete Raffle prizes after importing them?
Yes, you can edit imported Raffle prizes just like manually added items through your Campaign Setup. However, if you allow donors to purchase entries for specific prizes, you cannot delete a prize once someone has purchased entries for it—you can only hide it from your Campaign Page if needed.
