How can admins process in-person credit card payments for student fees?

Givebacks admins (such as bookkeepers or front-office staff) can accept an in-person credit card payment for a student’s outstanding fees directly in the admin portal. This creates a seamless checkout experience while keeping payments aligned with existing permissions and secure payment processing.

Before you start:

  • You must be signed in as an admin with permission to manage student fees and take payments.

  • Have the payer present to provide credit card details (card number, expiration date, CVC, and ZIP).

  • Only enter card details with the payer’s consent and never store card numbers outside the Givebacks checkout form.

Taking an in-person credit card payment

  1. In the left navigation, go to Fee Management > Student Roster. Then use the search function to locate the student. Select the three-dot menu at the end of the student’s row.

  2. From the menu, select View Student. Alternatively, you can click on the student's name.

  3. On the student profile, find the fee you want to collect payment for. Select the three-dot menu on that fee, then choose Card Fee Payment.

    Note: You can select fees marked as Unpaid or Partially Paid.

  4. In the Checkout window, enter the payer’s credit card details and required contact fields, review the Total Due (including any fees), and then select Checkout to submit the payment.

What happens after you submit payment:

  • The payment is applied to the selected student's fee.

  • The fee’s status and amount paid will update in the student’s Assigned Fees list.

  • Receipts/records follow your organization’s existing payment flow and reporting.

Best practices for in-person payments:

  • Confirm the correct fee before selecting Card Fee Payment, especially if the student has multiple unpaid items.

  • Verify totals with the payer (subtotal, fees, and total due) before clicking Checkout.

  • Protect cardholder data: never write down card numbers or save screenshots of the checkout screen.
