Understanding the Dues Payment page

The Dues Payment page gives you a central place to monitor dues activity for your organization. From here, you can review payment transactions, track the status of unit dues, change the school year view, and access additional actions from the menu.

The page includes two main tabs:

  • Transaction History – view individual dues payment records.

  • Dues Status Overview – view each unit’s current dues status at a glance.

At the top of the page, you’ll also see summary cards for key dues totals, a school year dropdown, and a 3-dot menu for additional actions.

Top summary cards

The three summary cards at the top of the page help you quickly understand dues activity for the selected school year:

  • Dues Received – The total amount of dues marked as received for the selected school year.

  • Dues Pending Review – The total amount of dues ready to be reviewed and marked as received for the school year selected.

  • Total Outstanding Dues – The total amount of dues that are past due or unpaid for the selected school year.

Each card also includes a View link so you can drill into the related records.

Change the school year

Use the school year dropdown in the top-right corner of the page to switch between school years. When you change the selection, the summary cards and tab content update to reflect that school year’s dues data. This is helpful when comparing current-year activity to prior-year dues performance.

Use the 3-dot menu

Select the 3-dot menu at the top of the page to access additional dues-related actions:

  • Add Manual Payment – used to manually record a dues payment. Details for this option are covered in another article. For more information, see How can State Leaders Enter Manual Unit Dues Payments?

  • Dues Settings – opens dues configuration options. This is covered in a separate article.

  • Send Reminders – sends a reminder to all units with outstanding dues. Messages are sent to the president and the treasurer.

This menu is especially useful when you need to take action directly from the Dues Payment page without navigating elsewhere.

Transaction History tab

The Transaction History tab shows individual dues payment records. This view is best for reviewing payment activity in detail.

In this tab, you can:

  • Review payment records by date created

  • See the National ID, State ID, and Unit

  • View the Membership Year

  • Check the current Status

  • See the number of Members included

  • Review the Payment Method

  • Reference the Payout ID when available

You can also use the tools above the table to search, filter, take actions, or export/download data as needed.

Dues Status Overview tab

The Dues Status Overview tab provides a high-level view of dues by unit. This tab is useful when you want to quickly identify which units are paid, overdue, unpaid, or need attention.

In this tab, you can review details such as:

  • National ID

  • State ID

  • Unit

  • Membership Year

  • Status

  • Amount Outstanding

  • Members Unpaid

  • Total Members

Dues statuses explained

The Status column helps you understand where each unit stands in the dues process. Common statuses include:

  • Dues Paid – the unit’s dues have been fully paid.

  • Past Due – the dues payment is overdue. Use the 3 dots at the end of the row to send a reminder to the unit.

  • Unpaid – the unit still has dues outstanding but not overdue.

  • Unrecorded Members – a manual dues payment has been received but the unit has not entered their members.

  • Pending Review – a payment has been submitted and is awaiting review before being marked as received.

Best practices

  • Use the school year dropdown first to make sure you are reviewing the correct year.

  • Check the summary cards regularly for a quick snapshot of received, pending, and outstanding dues.

  • Use Transaction History when you need record-level detail.

  • Use Dues Status Overview when you want to identify units that need follow-up.

  • Use Send Reminders from the 3-dot menu to quickly notify all units with outstanding dues.
