You can create contact properties to collect and manage additional information about your contacts beyond their name, email, phone number, and address. For example, you may want to know the contact's grade level, teacher, or whether they are interested in volunteering. These fields will be viewable in the contact's profile.
You can filter by these properties. Filters are dynamic in that the list of people will always be based on the current status of the properties when the filter is used.
Note: Properties are no longer used in Products or Membership Products. To collect additional information from supporters at the time of purchase, use Additional Fields and create dynamic lists.
Creating Properties
From the toolbar, select Contacts and Properties. Click Add Property.
Give your property a meaningful Field Name for the Contacts who will be filling in the fields, as well as to help you create filters in the future.
Select the Property Type. You can choose between many field types. Note: Text Field and Longer Text Field are great for free entry fields, but will not work as well for filtering.
Checkbox - Perfect for Yes/No questions.
Currency - Allow dollar values
Number - Allow number values
Text Field - Free-form text
Longer Text Field - Same as text field, but larger box.
Date - Date formatted entry field
Date Time - Date and time entry field
Single Select - You can create the options that will show in a selection list, and your contacts can select one entry from the list.
Multi-Select - The same as Checkbox, but allows the selection of more than one item.
If you choose Single Select or Multi-Select, click Add Selection Option and enter your selection options. You can add as many options as you like. The options can be re-ordered by grabbing the "handle" next to the option and dragging it to the desired location in the list.
Additionally, you can select who can view and edit each contact property.
Admins only - The property is only visible and editable by the organization admins with the appropriate permissions.
Admins and the user - The property is visible and editable by organization admins and the user on their profile.
Click Save.
Entering Contact Property Data
The data can be updated on the contact's profile. Properties will be viewable by admins and contacts (based on settings) on the contact profiles. Click Edit Properties and update the data.
The data can be entered through a contact import. For more information, see How do I import contacts?
Viewing Contact Property Data
Contact Properties are viewable on the contact table and can be filtered.
Admins can see contact property data when exporting contact lists under Contacts > All Contacts > Export icon. Each contact property will be listed in a separate column on the exported spreadsheet.
Clearing Property Data
Property data can be deleted or cleared to reset the property for a new year.
Note: This action can not be undone!
Go to Contacts > Properties.
Click the three dots next to the property and select Clear Property Values.
Click Confirm.
