How do State, Council, Region, and District PTAs manage dues settings?

Use Dues Settings to control how PTA dues are collected. State PTAs can define statewide dues rules, including automatic payment options. Council, region, and district PTAs can then set up their own dues structure, subject to what the State PTA allows.

From the toolbar, select Compliance, then Receive Unit Dues. Click the three-dot menu at the top of the page and select Dues Settings.

State PTA Dues Settings

State PTAs control the main dues rules for the membership year. These settings affect how dues are collected and whether council, region, and district PTAs can use Givebacks to process dues payments.

The Edit Settings window includes the dues amount, payment timing, minimum member threshold, and payment options.

  • Dues Per Member – Set the amount charged per member for the selected membership year.

  • First Payment Due Date – This is the date on which the first automatic dues payment will be processed.

  • Minimum Number of Members Required – A unit must meet this requirement before an automatic payment is processed. This minimum is ignored in the final month of the membership year, so all members can be paid by year-end.

  • Allow Dues Payment – Turn this on to allow council, region, and district PTAs within the state to collect dues through Givebacks.

  • Automatic Payments – Turn this on to let local PTA units opt in to automatic dues payments. Automatic payments begin on the first payment due date and only process when the minimum member requirement is met.

You can review and update all five State PTA dues settings in one place, then click Save Changes.

Important: State PTA dues settings can only be adjusted during the allowed setup period shown in Givebacks. If you need to make changes after the first payment due date, contact Givebacks Support.

Council, Region, and District PTA Dues Settings

Council, Region, and District PTAs can choose how to collect dues from units in their structure. These PTAs can use Per Member dues, Flat Rate per Unit dues, or both.

If your council uses Per Member dues, the First Payment Due Date, Minimum Members Required, and Automatic Payments settings are inherited from the State PTA and cannot be changed at the council level.

  • Per Member Dues – Enter the amount to charge per member.

  • First Payment Due Date – Inherited from the State PTA.

  • Minimum Number of Members – Inherited from the State PTA.

  • Automatic Payments – Controlled by the State PTA. Local PTA units can only use this option if the State PTA has enabled it.

If your council uses a Flat Rate per Unit, enter the amount due from each unit and the due date. Flat-rate dues are not eligible for automatic payments and must be paid manually.

Best Practices

  • Review dues settings at the start of each membership year before the first payment due date.

  • Use Per Member dues when you want payments to scale with membership counts.

  • Use Flat Rate per Unit when every unit should pay the same fixed amount.

  • If you enable automatic payments at the State PTA level, clearly communicate the minimum member requirement to subordinate units.

  • Remember that flat-rate dues must always be collected manually.
